1. Scope and Acceptance
By completing an online registration and proceeding with payment, the applicant confirms that they have read, understood and accepted this policy in full. This policy governs online registrations for programmes delivered by EuroPolytech Academy through its digital learning environment.
Registration becomes binding once payment has been successfully processed, whether by full payment or by the first approved instalment where instalment options are available.
2. Online Registration and Enrolment
After successful registration, the participant’s details are reviewed and processed by the Academy. Once confirmed, the participant is enrolled onto the relevant programme and prepared for access to the online learning environment.
The Academy reserves the right to reject, suspend or cancel an enrolment where false information has been provided, payment has not been completed, or the participant has breached institutional rules or academic standards.
3. Payment Terms
Course fees are displayed on the relevant programme page and must be paid in Euros. Participants may be offered a one-off full payment option or an approved instalment plan, depending on the programme structure published on the website.
- Full payment secures immediate financial clearance for enrolment and certification processing.
- Instalment payment allows staged settlement of tuition fees, subject to the payment schedule stated at checkout.
- LMS access may be granted once the initial payment has been successfully received.
- Certificates, transcripts or final academic release may be withheld until all outstanding balances have been settled in full.
- Any bank charges, payment gateway charges or currency conversion costs remain the responsibility of the participant.
4. Usage of Online Learning Resources
Enrolled participants are granted a personal, limited, non-transferable right to access the Academy’s online learning resources for educational purposes only. Access is strictly restricted to the registered participant.
- Course materials must not be copied, redistributed, sold, shared or uploaded elsewhere.
- Login credentials must remain confidential and must not be used by third parties.
- The Academy may suspend access where misuse, unauthorised sharing or academic misconduct is suspected.
5. Refund Policy
As these programmes involve digital content and online access, refund decisions are assessed in light of both consumer protection principles and the nature of immediate access to online educational services.
A participant may request a refund within 14 calendar days of payment only where no substantial use of the learning platform or course materials has taken place. Once course content has been meaningfully accessed, downloaded, or used, or where assignment activity has begun, the right to a full refund may no longer apply.

- No refund is normally granted after assignment submission or marked academic engagement has started.
- Administrative or registration-related charges already incurred may be deducted where applicable.
- Exceptional circumstances may be reviewed at the Academy’s discretion on a case-by-case basis.
6. Moodle LMS Access and What Students Should Expect
Following successful registration and payment confirmation, students are onboarded to EuroPolytech Academy’s Moodle Learning Management System. Login credentials are normally issued by email after enrolment processing.
Through Moodle, students should expect access to the core components of their online learning journey, including module or unit materials, assignment briefs, submission links, academic guidance and key announcements.

- Access to learning materials, reading resources and guidance documents.
- Assignment submission areas for each required assessment.
- Communication of notices, updates and, where applicable, tutor guidance.
- A flexible self-paced environment allowing students to progress within the permitted access period.
Students are expected to ensure they have a reliable internet connection, an appropriate device, and basic digital skills required to engage with an online learning environment.
7. Academic Progression and Certification
Completion of the programme is subject to successful submission and achievement of all required assessments in accordance with the rules of the awarding body and the Academy’s internal quality assurance procedures.
Certification will only be processed once academic completion has been confirmed and all financial obligations have been satisfied.
8. Data Protection
Personal data submitted during registration is processed for legitimate academic, administrative and regulatory purposes, including enrolment, learner management, certification processing and compliance with awarding body requirements. Data is handled in accordance with applicable data protection principles and legal obligations.
9. Institutional Rights
The Academy reserves the right to update this policy, revise course delivery arrangements, amend access procedures, and take reasonable steps required for academic quality assurance, compliance, or platform management.
